Expectations and Standards for the Non-Profit Organization

  • Maintain a clean, organized and safe and secure server room, if applicable
  • Limit access to server room to authorized personnel
  • Provide secure storage for desktop and server software, manuals, etc.
  • Purchase and maintain adequate software licenses to maintain compliance with software vendors
  • Follow outlined procedures for maintaining backup system as outlined by Tech Team including tape swapping, tape drive cleaning, offsite tape storage, routine check of the backup software, etc.
  • Provide security and fire protection for tapes that are stored onsite
  • Purchase hardware, software, equipment, and peripherals necessary for smooth and effective operation of computer systems
  • Install only standard software approved by the Tech Team and NPO Director
  • Follow outlined notification process for phone or electronic contact as agreed upon with the Tech Team
  • Identify primary and backup persons for contact to and from Tech Team
  • Identify primary and backup persons to support onsite operational support (changing passwords, unlocking accounts, backup activities, etc.)
  • Provide onsite after hours access for Tech Team
  • Identify primary and backup persons to be available for contact by the Tech Team in the event of an Emergency/Critical problem – this would require 24x7 availability
  • Notify Tech Team of employee departures and arrivals in a timely manner to maintain security in relationship to user ID's and passwords
  • On an annual basis at the time of contract renewal inform the Tech Team, of the number and type of equipment/devices to be serviced by the Tech Team
  • Immediately notify the Tech Team and Covenant House of any substantial changes in number and type of equipment/ devices to be serviced by the Tech Team – this includes increases and decreases in equipment/ devices
  • If the amount of devices should raise or lower the NPO into the next pay scale, the NPO should notify the Tech Team and Covenant House Director immediately
  • Implement a Computer Acceptable Usage Policy
  • Develop a non-disclosure form to be signed by Tech Team for the NPO
  • Provide the Tech Team with regulations that are required to be followed by the NPO; e.g. HIPPA regulations, confidentiality standards, etc.
  • Administrator Passwords: Agree to not utilize the administrator access being granted by knowledge of the password; agree to keep passwords secure and agree to request change of passwords immediately if password is believed to have been compromised
  • Support Disaster Recovery by storing at least one current backup tape in an offsite location. The backup tape stored offsite must be changed as often as practical (at least weekly is recommended) to minimize data loss in the event of a disaster.
  • Purchase and maintain service contracts for all information Technology products. This includes but is not limited to:
    • Hardware service contracts for PC's & Servers
    • Domain Name Registration
    • Software Service contracts & Subscriptions
    • Web Site Hosting
    • Antivirus, Antispan, Antispyware & Microsoft Software Assurance
    • Internet Service Provider
  • The Non-Profit Technology Team will provide advice as requested in a timely manner and expects to be involved in the purchase and renewal process. The NPO must communicate contact change information to vendors in a timely manner. If information Technology products are acquired through a third party, the NPO must contact the vendor to ensure that notifications are directed to the NPO.
